Why keep audio after a transcript exists?

Audio is the closest available source for checking what was said. It can resolve a number, name, tone, interruption, or speaker-label error that the transcript missed. Journalists, researchers, media producers, accessibility teams, and people creating a formal record may need replay. In those cases, deleting the source immediately can remove the only practical correction path.

Audio also carries information that plain text does not: pauses, emphasis, overlapping speech, pronunciation, and environmental context. If those qualities are part of the job, a transcript is a derivative, not a replacement. The retention policy should protect the source for a stated period and control who can play, copy, export, or share it.

The mistake is retaining audio indefinitely merely because storage is available. A useful source can become an unmanaged archive when its purpose, owner, review date, and deletion condition are undefined.

Why delete raw audio and keep the note?

Many work conversations are captured for one narrow outcome: remember the decision, task, rationale, or customer need. Once a reviewed note serves that outcome, the raw recording may add little daily value while remaining a more sensitive and space-intensive artifact.

The U.S. Federal Trade Commission describes data minimization as limiting collection and retention and disposing of information when it is no longer needed. NIST's Privacy Framework treats disposal as part of the complete data lifecycle, alongside collection, use, sharing, and retention. Neither source says every recording should be deleted immediately. They support making the retention decision explicit rather than accidental.

Deleting audio can reduce one exposure surface, but the transcript can still contain sensitive personal or business information. “No audio archive” is not the same as “no privacy risk.” Notes still need access controls, backups, deletion rules, and careful third-party disclosure.

What does deletion actually mean in a product workflow?

“Deleted” can describe several different events. A recording may disappear from the main interface but remain in a recently deleted folder, backup, synchronized device, export, server copy, or downstream integration.
