AI Meeting Notes Without a Bot for Zoom, Teams & Google Meet

Capture Zoom, Teams, Google Meet, and in-person rooms without a bot joining the call—even while wearing AirPods or Bluetooth headphones. OneMira C1 transcribes live in 99 languages with $0 monthly fee and auto-organizes decisions across every meeting.

How to Take AI Meeting Notes Without a Bot

Capture both sides of the conversation, transcribe locally, and turn the text into a useful recap. OneMira C1 and Desktop work together without a OneMira subscription.

  1. Set up your computer. Install OneMira Desktop, pair C1, and download the recommended local models. Use the built-in local model for offline meeting notes.
  2. Choose the audio source. For a room meeting, place C1 near the speakers. For a headphone call on Mac, follow the far-end audio setup on macOS 14.2 or later so the transcript includes remote participants. Open the call setup guide.
  3. Press C1 to capture. Tell participants you are recording, then press the center button once to start and once to stop. The turntable rotates silently as the recording cue while your connected Mac (macOS 12+) or Windows 10/11 PC transcribes the conversation in real time with local speaker labels across 2–4 person rooms (up to ~5 m / 16.4 ft) or online calls.
  4. Create the meeting notes. Use the built-in local AI—even 100% offline with Wi-Fi turned off—or optionally connect ChatGPT, Claude, Google Gemini, or Cursor to summarize the discussion into decisions, action items, client commitments, and open questions while the meeting continues.
  5. Confirm and follow up. Check names, commitments, and due dates against the transcript, then share the recap through your usual tools.

When a Meeting Bot Cannot Join

A virtual meeting bot joins as a separate participant. If your meeting cannot admit that participant, a bot-free recorder can capture through supported device audio or a local microphone instead.

Before relying on a bot, check three practical conditions:

  • Participant expectations: Explain what you are recording and who can access it, particularly in client interviews and sensitive discussions.
  • Meeting admission: Capture through a bot depends on it joining successfully; a rejected or waiting bot cannot record the session.
  • Organization policy: Microsoft Teams administrators can require approval for or block external bots. Use an approved recording workflow.

Three ways to take meeting notes

Three approaches serve different capture and note-taking needs:

1. Traditional Meeting Bots (Otter.ai, Fireflies.ai, Fathom)

A meeting bot captures as a participant in the call. Free and paid plans exist; admission, processing, retention and integrations depend on the provider and your organization’s settings.

2. Software-Only Bot-Free Notepads (Granola, Littlebird & Desktop Recorders)

Tools such as Granola and Littlebird capture device audio without a bot joining the call. Granola acts as a meeting notepad (Free Basic with limited history; optional Business $14/mo or Enterprise $35/mo; audio is deleted after transcription). Littlebird acts as an ambient work-memory assistant on Mac and Windows (paid Plus plans around $17+/mo) that links meeting audio with active screen windows, emails, and calendar context. Software-only desktop apps stop when you walk away from your computer into an in-person room, client dinner, or whiteboard session. Read our full Granola, Otter, and dedicated hardware comparison →

3. One-press recording and local AI (OneMira C1)

Press once on C1 to capture the conversation. OneMira Desktop transcribes on your Mac or Windows laptop and includes local AI for notes and mind maps after setup. Keep editable Markdown files, and connect your own compatible AI tools when you want to take the work further. See how local Markdown works with Obsidian and Claude Code →

The Headphone Problem: How Dual-Sided Capture Works

For a complete call transcript, capture your voice and the audio sent to your headphones.

A microphone beside your computer can hear you, but cannot reliably hear remote participants inside your headphones. Hardware room recording and desktop system-audio capture are separate capabilities; check the complete setup rather than the recorder alone.

On macOS 14.2 or later, OneMira Desktop uses the documented Core Audio process-tap setup to combine far-end audio from supported calls with your nearby voice. Follow the setup guide before relying on it for a meeting.

Keep your notes local

After the required downloads, transcription and the included local AI run on your computer. No OneMira account or subscription is needed for this local path.

  • Audio, your choice: Choose in Settings whether to keep the original recording as stereo WAV for listening back and checking details.
  • Notes you can use: Keep editable Markdown files and a connected Wiki on your computer for future conversations, writing and follow-ups.
  • Your AI choice: If you choose another model service or an external agent, the content you share follows that service’s data terms.

Frequently Asked Questions

Why can meeting bots be blocked or require approval?

Meeting bots join as separate participants. A host or organization can require approval or block external bots, so capture can depend on admission. OneMira records without adding a participant; recording permission still applies.

How does OneMira capture calls while I wear headphones?

On macOS 14.2 or later, the documented Core Audio process-tap setup combines far-end call audio with your nearby voice. An external room microphone alone cannot reliably capture voices playing inside headphones.

How does C1 compare with software-only tools such as Granola?

Granola offers bot-free capture in its apps, a free Basic plan and MCP access. C1 adds a dedicated physical recorder, local transcription and included local AI on your computer, with editable files you can keep using. Both support computer meetings; the device and processing experience differ.

Can C1 record when my computer is closed?

Yes. C1 records on its own, then transfers recordings to OneMira Desktop for local transcription when you reconnect. Choose in Settings whether to keep stereo WAV audio for listening back.

Does C1 require a subscription or transcription-minute quota?

No. Speech recognition and speaker labeling run on your supported Mac or Windows computer without a OneMira subscription or minute quota. Computer resources and optional external services have their own limits and costs.

How does recording consent work without a bot?

Tell participants that you are recording and follow the rules that apply to your meeting. C1’s turntable rotates silently while recording; this visible cue does not replace participant permission.
